Privacy Policy

Machine Labs, LLC (“Machine Labs,” “we,” “us,” or “our”) operates this website and The Machine, our invite-only AI platform for customer organizations. This Privacy Policy explains how we collect, use, and protect information when you interact with us.

We collect only the information necessary to operate our website, provide our products and services to invited users, and communicate with prospective partners and customers. This may include:

• Account information you provide (name, email address, organization)
• Mobile phone numbers and SMS opt-in records when users enroll in our messaging program through our platform
• Usage data and technical information about how you interact with our products
• Communications you send us (email, support requests)

Users of The Machine may opt in to receive SMS messages from Machine Labs by binding their phone number through a two-step in-app verification flow. The SMS program is used to send account-related and conversational assistant messages, including meeting reminders, task confirmations, follow-up nudges, opt-in and opt-out notices, and responses to user-initiated requests.

How users opt in to SMS: End users are invited by an administrator at their organization. There is no public self-signup, verbal opt-in, paper opt-in, or initial SMS keyword opt-in. After creating an account, a user may opt in from Settings > Phone Number inside The Machine. The opt-in page displays a consent disclosure directly above the Send Code button.

The consent disclosure states: “By checking this box and tapping Send Code, you agree to receive SMS messages from Machine Labs and The Machine, including account verification, reminders, confirmations, assistant follow-ups, and responses to your requests. Message frequency varies. Message and data rates may apply. Reply HELP for help, STOP to cancel. See our Privacy Policy and Terms.”

The user enters their mobile number, taps Send Code, receives a one-time verification code by SMS, and enters that code in the app. SMS is not enabled until the verification step is completed. Additional public information about the SMS program and opt-in flow is available at machinelabs.vc/sms.

Message frequency varies based on your activity, typically 0–10 messages per week. Message and data rates may apply.

You can opt out at any time by replying STOP, STOPALL, OPTOUT, CANCEL, END, QUIT, UNSUBSCRIBE, or REVOKE to any message, or by removing your phone number from your account settings. Reply HELP for assistance, or contact hello@machinelabs.vc

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent will not be shared with any third parties.

We use the information we collect to operate, maintain, and improve our products; to communicate with users about service-related matters; to deliver SMS messages that users have opted in to; and to comply with legal obligations.

We do not sell personal information. We share information only with service providers that help us operate our products (such as cloud infrastructure providers and our SMS provider), and where required by law.

We retain personal information only for as long as is necessary for the purposes described in this policy. You can request deletion of your data at any time by contacting hello@machinelabs.vc.

We use industry-standard security measures to protect your information, including encryption in transit and at rest. Data is stored on secure infrastructure in the United States.

You may request access, correction, or deletion of your personal information by contacting us. You may opt out of SMS communications at any time as described in Section 3.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
